Business: The classes seemed to go well. As a very short notice effort, the Chancellors were pleased. Letters of gratitude for their cooperation and support were recommended for their Excellencies’ Baron Modar and Baroness Briana of Forgotten Sea, and the Kris Kinder autocrat, Countess Shajar. Christiana will see to it forthwith.


Brialen was introduced as an aspirant for Tamara’s Deputy Regent position. This proposal was moved/seconded/approved.


The Virtual Scribe position is open. Toli and his deputy were sent letters of thanks for their Service to R.U.S.H. The Chancellors will ask for applicants to fill this position, and hope to announce the designate at Twelfth Night. A motion was made/seconded/approved for Brud to take the Interim responsibilities, as we wish to get this up and going as soon as possible.


Web Set-up costs were discussed; various options for Domain registration processes, costs, and then monthly dues were reviewed. Various titles for the Website were put forth. Brigida made the motion, and Tamara seconded, to use the designation ’calontir-rush.org’. Motion was approved. Tamara moved, and Brigida seconded, to authorize the $40.00 Domain registration, with $15.00 monthly fees trial option for six months. This would then be re-examined and another vote taken on it at Lilies’ War. This was approved.


Some slight discussion on Web content and the limits of who should have access to what was made. Their Majesties’ have requested all Kingdom groups to have their handbooks & guidelines on line and accessible to all. The Degree and Graduation requirements, Regents’ access to Instructors across the Kingdom, Job Descriptions, and a RUSH Chatroom are all subjects to offer. E-mail messaging and improvement in communications amongst Staff were anticipated with great enthusiasm. More discussion at the Farble will be made.

PROVOST(s): Coronation Meeting Minutes were read. The date needs to be corrected to 2001, but motion was made by Theron, seconded by Christiana and approved to accept the minutes as otherwise read.


Lilies’ Meeting Minutes were read. The date again needs to be corrected to 2001, but motion was made by Xorazne, seconded by Brigida and approved to accept the minutes as otherwise read.


Minutes from the Fall Session were read and corrections made. They will be revised for approval at the next meeting

Classes and events coming up: R.U.S.H. at Kris Kinder was begun as a Special Session with Luciana as Regent. With their Majesties urging, this event will be tired for two years, and then its feasibility evaluated by the Board. Grimfells has a conflicting event and room availability is a problem due to Order meetings. There are three adult and one children’s classroom; two morning sessions and three afternoon sessions are planned to keep from interfering with the merchants. We have warned the merchants to have supplies. Merchants at R.U.S.H. have never been banned, and the Site Coordinator will regulate the table fees at regular Sessions.


April Session: This began as a Special Session, as well, but fell into the Spring Rotation. It’s located at Luciana’s son’s acreage in Leon-Mt. Ayre area of southern Iowa. Host group is probably Coeur d’Ennui. Regent Brigida is to see the site. Camping and horse pasturage is available. Classes planned include: Archery, Blacksmith, Fighter Repair, Outdoor Cooking, Children’s Blacksmithing, 12 Century Children’s Day as it would have been with Alvira. Port-A-John prices are in the $340.00 range for 2 regular units and 1 handicap unit. We need to investigate whether potable water is available or if attendees should be warned to bring in their own supply. Camping fees to defray the cost of the Port-A-Johns may be needed.


GENERAL DISCUSSION: Co-Chancellor Luciana needed to attend the Seneschals, Chroniclers, and Arts & Sciences meetings. Co-Chancellor Genevieve led some brain storming. With trying Kris Kinder as the winter session, March and September would have better weather and less event conflicts than the current April and October occasions. The Regents could assist each other more, doubling up on a session.


An Instructors List could be put onto an on-line database. This opens the possibilities for the Regents to have more data at hand.


More visibility for graduations, with Master’s Hoods possibly, was brought up. Research to validate the use needs to be done.


LILIES’ REGENT REPORT: 230 class hours were prepared, with about 270 hours done. Classes were held from 10:00 A.M. to 4:00 P.M. Brigida feels the schedule needs to be firmer at the start.


AFTER LUNCH & LUCIANA’S RETURN:


The Seneschals and Ministers of Arts & Sciences like the idea of contacting their Regent and vice-versa with the Regent watching for events, to hold classes. Should there be a local Baronial R.U.S.H. contact, should the contact be through the Arts & Sciences offices? This is a change in the Regent’s current tasks. Classes at events in an active area could be overwhelming for one person. Mentoring of Regents, with coming in as the other is going out was discussed. Currently, the currant Regent has Primary Responsibilities with the Deputy learning. The suggestion is to have a Senior and Junior Regent working in a more teamwork capacity, with the Junior becoming Senior and then finding a Deputy-Junior.


We need more discussion (and more discipline).


The Chancellors are looking at the possible restructuring of sessions, with scheduling the Spring Rotation in the north of the kingdom, and the Fall Rotation in the south. This gives stability where weekends could be reserved or target dates with a little leeway could be used. If Kris Kinder doesn’t answer populace needs, a ‘theme’ session, other than Clothiers’, which is held in February, is a concept; or perhaps this would cover the Winter season. Clothiers’ has fighting space offered now as well. A contact with Clothiers’ should be made. The Central Regent has little to do there and R.U.S.H. credit is easily involved.


The Deaneries need to be redefined if Sessions are to be distributed in the above fashion. Co-Chancellor Genevieve, Provost Christiana, and hopefully, the Kingdom Seneschal, who has population distribution information, were put forth as a team to investigate and draft a proposal.


Master Eadweard Boicewright has offered to take R.U.S.H. forms with him to foreign wars for those wishing credit.


Luciana related how HM Valens, who is a teacher mundanely, asked her for the validity of R.U.S.H. Luciana’s answer was that R.U.S.H. is a central clearing house for education.


Alvira made a motion, to hold a farble after Kris Kinder, in Luciana’s church’s basement on Saturday, February 9th. Seconded by Brigida, and approved.


FINANCE COMMITTEE: Baroness Maeve suggested we need to require a Budget from host groups. We gave her a copy of our Event Bid Draft from the Anatomy of a R.U.S.H. to evaluate. If this Budget is followed and R.U.S.H. has accepted the bid, then R.U.S.H. would cover possible losses, in line with the event proposal, of up to $250.00, as already approved by Their Royal Majesties. R.U.S.H. would reserve the right to evaluate extenuating circumstances. The Kingdom Exchequer is also a recourse for reimbursement. Food costs of inns and feasts are totally the Host Group’s worry, unless R.U.S.H. starts a tradition of a feast or dessert revel, as does Middle Kingdom with the R.U.M. Ball. (What to call it? The R.U.S.H. Hour Simmer Dinner was suggested!)

Point: Financial decisions sometimes need to be made quickly, with fast contacts needed to make decisions. We proposed the Bursar, Co-Chancellors, and Provost decide emergency financial decisions with funds of up to $200.00. (Output of funds over $200.00 already requires Crown approval.)


Question: Should the Finance Committee be the ones to have final approval on site bids? We related to her Excellency Maeve that the Regent presents event reports from Host Groups to the Board, and the Board makes that decision.

In 1999, R.U.S.H. had $266.91 in expenses and tithed $1,000.00 to the kingdom. It was suggested we make a tithe this year. Discussion was made and the motion to tithe $500.00 to the Kingdom Cope Fund was made by Christiana, seconded by Brigida, and approved by the Board, pending approval of the Crown, as it’s over $200.00.

In the event of a last minute cancellation, who decides and how does the word get out? Checking the Web would reach some participants. This needs to be discussed at the Farble.


Do we need moneymakers if Lilies’ doesn’t cost anything? The Lilies’ War Committee pays for the tent. 2 sessions per year might suffice. ‘Mini-R.U.S.H.es’ and promotions would increase administration costs (printing), though.


DISCUSSION: Distribution of Instructors Evaluations is still a problem. E-mail, snail mail, and the Regents trying to catch teachers at following events are all options that are not totally satisfactory. Privacy issues are at stake. Instructor recognition is important. Regents are reminded to thank their Instructors. A Thank You Script would be good. A public thank you in Court is very nice, but the personal touch is very important.

Mistress Agnes brought out R.U.S.H. coins, which have been given out in previous years. Where are the dies and the remainder of the pressings?


MENTORING: The proposal was brought out again. Do we want this added to the Anatomy? ‘What is a R.U.S.H. Regent?’ as a class was suggested, along with Deputy training. Does Deputy training need to be added to the Handboke? An amendment would need to be made. This is referred to the Farble.


FARBLE: By-Laws - Handboke - Graduation Requirements are to be main Farble Topics. Co-Chancellor Luciana would like ideas for session tracks. Methods classes such as Judging, Marshalling, Heraldry, How to teach R.U.S.H./R.A.C. need to be promoted. Is a Special Sessions Regent still needed? Communication methods should be reviewed. Other kingdoms have approached R.U.S.H. with interest in having classes for non-combatants at their Wars. Do we need a Foreign War Liaison?
