Current Session
Bursar Report: There is around $3,200.00 of Lilies’ expenses to be paid. The Bursar needs a method of more directly receiving receipts for quicker recompense to occur. Today’s session has $195.00 income to divide with the host group.
DRAC: The courses today were based on a ‘Day in the Life of a Twelfth Century Abbey’. More programs on this premise are planned: A Day in the Life of … a Castle … a Farm … the Crusades (from both perspectives). Luci requests adult classes in this same vein.
More adult support is needed, or perhaps RAC should be reduced to a half day time period. And, Alvira reports that a new shire in northern Iowa has had a mini-R.U.S.H.
Registrar: Some glitches were had this week, but everything went well. Since Maire has indicated her inability to continue in this position, Gwyneth made the motion to accept her retirement and accept her deputy Rose as successor. Alvira seconded the motion and it was approved. Rose is mundanely a Technology Coordinator, and also holds Calontir’s Ministry of Children office. Our Kingdom Seneschal Rigela has no problem with two offices being held. Maire is stepping into the Deputy Bursar position.
Central Regent: Eloine has sent a letter of resignation from the Central Regent’s position. Irena had volunteered to cover this area until a replacement is found. Maire made a motion (Rhodri seconded) to accept Eloine’s resignation, and Irena’s replacement. It was approved. We are to advertise for a Central Regent.
Provost: Alvira moved to defer the reading and correction of the Lilies’ meeting minutes until CalonCon. Irena seconded, and it was approved.
Virtual Scribe: Irena reports for Brud. The host was changed due to continued site problems, which the host wasn’t correcting. The Handboke is on the Web; Instructor forms are on the Web, and when submitted, are channeled to go to all Regents.
Librarian: A new position we’ve been considering, and the duties entailed. Maire’s original proposal had been intended as a repository for the Instructor’s Course Handouts. Perhaps, also the Calon Scrolls, old (donated) Tournaments Illuminated, Compleat Anachronists, and Kingdom Arts & Sciences articles and Master Craig’s Kingdom History should be included. There are copyright questions to be answered. And, how would the items get to those interested and then returned to R.U.S.H.? There’s a general unwillingness to let the information, once gathered, out of R.U.S.H. officers’ possession. Would a general repository of knowledge be a better function? Would ‘Archivist’ be a better term? Theron is interested in the post. The copyright particulars are placed on the CalonCon Agenda.
Session Reports:
Lilies’ Regent Gaebbi was not present today. There had been some confusion regarding her duties at Lilies’ after her preparation work had been done. Her solution was the walkie-talkie, which enabled her to perform other tasks outside the R.U.S.H. area, and still answer questions that came up. The Prince of North Shield had presented a very well received Japanese Clothing course. Perhaps, other Royals would be interested in teaching next year. Countess Fiona is next years’ Lilies’ Regent and is already at work. The Lilies’ Party needs to be on the CalonCon Agenda.
Fall Session: Tamara had some major site difficulties, but their reputation with the Institution prevailed. Many instructors had to cancel. The guest speaker was a very positive experience. She gave a presentation on Textile Preservation, which is a gratis service of the College. Tamara reports that drastic cuts in State Funding have affected this lady’s department, and she (Tamara) is going to investigate how to direct an honorarium to this specific area.
Kris Kinder: Svana is the seneschal/autocrat in charge. The former Montgomery Wards building at the Blue Ridge Mall is the site. Irena will give a report to us at CalonCon.
Spring: Scheduled for April 13th, or 14th, the site is Luci’s son’s farm in southern Iowa. Many outdoor events/courses are planned: blacksmithing, outdoor cookery, and archery. There is a RAC Period Encampment planned, and camping is available. Xoraszne and Brigida are the Northern area Regents, and Coeur d’Ennui is the tentative host.
Other Business:
Grimfells: There have been two other episodes of schedule conflicts, this time autocrat HE Joe Angus kindly surrendered the date. The March Warden event would like to host R.U.S.H., but it’s scheduled two weeks after the Spring R.U.S.H. If it works, perhaps we should shift the Session rotation, but it brings up the problem of money making, again. (Another topic for CalonCon.) Perhaps, raising the site fee needs to be addressed. Our Stand-Alone Status also needs to be on the agenda.
Our Chancellor has been reminded of her offer to the Witan, of Web space for Kingdom worthy projects. HRH Kensor has formulated an idea for a Calontir Historian. Kato came up with a layout for the project, incorporating perhaps a dozen images with a narrative for each reign from Rhiannon’s pictorial albums, which are very difficult to transport; Master Craig’s Calon History; and Baroness Jenna’s reports of Kingdom events. Those present were very interested in furthering this project, and Kato was referred to the Virtual Scribes.
HRH is considering a R.U.S.H. representative for his staff.

Handboke: Tamara’s efforts in bringing the Handboke and By-Laws were acknowledged and worthily lauded. We briefly reviewed the changes. A publishing disclaimer will be included. The front page is turned over to Brude, as Tamara doesn’t have the font for the lettering. We need to check the copy of the Charter to see if a hyphen is in ‘Scir-Hafoc’, for continuity. Typos and grammar corrections are noted. Brigida made a motion to approve the Handboke only, not the By-Laws as corrected. Christiana seconded, and it was approved.
Their Royal Majesties, and soon-to-be Royal Highnesses, will be asked to review it next. Liriel and Morgana Caine, who are legal advisers, will be asked to assess it, as well.
By-Laws: A change is suggested in the quorum numbers for the method used in changing our By-Laws. Genevieve explained her wish for this alteration was due to having more officers (larger Board) than was initially envisioned. We also discussed the need to have the Regents voting rights positively stated in the document, and where to place it. Maire moved, and Brigida seconded, to table any more By-Laws discussion until legal advice (from Liriel and Morgana) is received. Approved.
We went around the table and introduced ourselves, naming our positions, to each other and a new proposed Deputy Regent, Ann, whom Luci realized possibly didn’t know all of us.
Minutes: March Board meeting minutes were read aloud. Corrections were made. Eloine moved, and Tamara seconded, to have the minutes approved as corrected. Approved.
New Business:
War Regent Report: There were ‘only’ 200 hours of classes, and they were fairly well attended. The highest-class attendance record, of 30 students, was held by the ‘Serial Killers in Period’ course. Countess Fiona will be the next Lilies’ War R.U.S.H. Regent.
Luci’s Report: Upon the suggestion of the War Regent, walkie-talkies had been purchased to assist in the communication problems over the site. They worked very well, and will be helpful in the Constable’s office at other R.U.S.H. sites, as well, so Luci proposes re-imbursement be made to Gaebbi. Christiana/Brigida so moved and seconded the expenditure. Approved.
The Dry Erase Easel, bought with previous approval by the Board, had been used all through the War.
Luci had gone on a ‘fact-finding’ mission for information on publishing R.U.S.H. proceedings. When checking into costs with a previous editor of the Mews, Her (then) Royal Highness Ariel, at Crown Tourney, had referred her to the Calon Scrolls as having a good source. Countess Fiona and Sine were consulted, and Luci found herself here at Lilies’, conversing with Seamus about $500.00 per quarterly publication fees, which amount is not feasible. Tamara happened to meet them and suggested a ‘pull-out’ center portion of the Mews as an option. The center pages of the Mews could be a portion of a Calon Scroll article, with more sections published in consecutive months until the entire article is completed. Gentles simply remove and save the sections as they appear. Society members would receive this automatically with the Mews. Seamus offered to bring this idea to the Witan’s attention. When asked, Seamus informed Luci that the Mews is unable to publish on the Web.
Comments: Will we have the finances to support this action? The Fall/Spring sessions are our only moneymakers. But, there are no expenditures for Kris Kinder, and not much for Lilies’. It’s a positive Kingdom benefit and educational for the entire populace. Fund Raisers could be done, and funds could be tithed. We anticipate more information on costs and the Witan reaction. Some of us shared knowledge of how other Kingdoms Art & Sciences newsletters and articles used to be available, and we wonder if the Society Chronicler might have some information from across the Knowne World for us.
Registrar: Maire reports things are going well despite a small glitch with the ACCESS program. She regrets not being able to continue in her office, despite being given an extension in term, she must resign. She will be able to provide us with an accurate job description so we can find a replacement for her. She will be missed.
Virtual Scribe: Brude requests the schedules for upcoming events. He is working on ‘forms’ to be available on the site; and the old site ‘link’ problem is corrected.
Regents:
Fall: This is the SE/SW area. Tamara has the University of Kansas-Manhattan site on September 21st, the third weekend of the month. She is still needing Instructors. They can call her or contact her on the Web page. She expects a guest speaker giving professional information on Textile Preservation; and the University has a 15C manuscript on Abicus, which is a cookbook The Demo for the city’s Folk Life Festival begins at noon, with Arts and Crafts booths, and food vendors. There is Web site information. Period camping equipment can stay up all day; fire pits and outdoor cooking are allowed. There is no cost for the facility, as we’re registered on campus.
Spring: Brigida and Xoraszne are the NE/NW Regents. They are working on using Luci’s son’s farm for an outdoor session. The logistics on food, campground showers, porta-johns, and such are being examined. The date hasn’t been set yet.
Old Business: Ann of Walnut Grove was nominated as NE Regent’s Deputy. Brigida/Tamara moved and seconded. Approved.
Discussion was made regarding asking for ‘Stand Alone’ status for R.U.S.H. This would allow us to permanently fix dates for sessions, which Queen’s Prize Tourney now has. We feel this would benefit R.U.S.H. and Chancellor Luciana should make a formal request of approval by their Majesties. Tamara so moved, Eloine seconded, and it was approved.
Brigida made a motion to hold a May Farble, Brude seconded, and it was approved.
Discussion of the Librarian position is tabled until the Fall Session.
Specifics on the Duties of the Central Regent position were requested. Genevieve, Brigida, and Tamara gave advice and input on approaching seneschals and the A&S officers to encourage R.U.S.H. credits for classes at their events, along with supporting the Kris Kinder and Lilies’, and other ideas they’ve used in their terms as Regents.

R.U.S.H. FARBLE held in V’tavia

BUSINESS: Mistress Luciana announced she is going to approach their Majesties about a ’status’ change for R.U.S.H., specifically to become an entity more unto ourselves. At present, we need a ‘host’ group and the signature of its seneschal to fill out event papers before R.U.S.H. can be scheduled or reserve a weekend on the kingdom calendar. This has caused some difficulties in the past, where Mews information hasn’t been submitted in time for optimum promotion. If the Chancellor could fill out the required event paperwork, and be able to reserve weekends, it would work better. The ‘permanent’ reservation of two weekends, one in Spring (April), and one in Fall (November), would be very good. As an entity, the ‘150 mile’ rule would apply (even though we would still try to cooperate with surrounding events). With their Majesties approval, the proposal would go before the Witan, where drawbacks could be discussed.
LILIES’ – We need a Staff meeting there, to bring the Handboke/By-Laws changes to the rest of the Staff who haven’t been able to attend the Farbles. If we held it over a dinner hour, after classes and before many of the evening events get started, we could also have an ‘open house’. This could help in our quest of improving our image. We could ask for brewing donations, perhaps provide supplies for an Arts & Sciences entry sort of affair with foods and drinks labeled by who made it and the ingredients used and when/where the next class will be taught. Our Treasury can provide funds for provisions. We need to check with Elasait about the schedule. It was noted that R.U.S.H. has just completed 18 years, so it was decided this year’s open house would be a Birthday Party. Christiana moved to expend up to $200.00 for supplies for the celebration, Rhodri seconded, and it was approved.
The Librarian position needs to be discussed, with proceeding publications under the job description.
We need to discuss the Central Regent’s position. We believe we need a Central Regent for facilitating Central events, and backing up Lilies’ and Kris Kinder, which are annual events. The Lilies War Committee needs to know to contact us, so we can help. We can suggest the new Lilies’ Regent get advice from the previous year’s Lilies’ Regent and the Central. Regent. Genevieve informed us that Kris Kinder has a new site: the Montgomery Ward building at Blue Ridge Mall.
Gaebbi had scheduled 5 concurrent classes for adults, running to 3:00 p.m. from the first Sunday of the War to the next Saturday. She checked with Luci at last weekend’s event, and they easily filled in more classes to go until the usual 5:00 p.m., plus a children’s list. Brude has the listings up on the Web, (he’s doing an excellent job on the Website), and Maire has the listings for assigning numbers. Gaebbi has asked all teachers for handouts and permission to publish them in a Lilies’ R.U.S.H. proceedings manual. This brought up the question of funding for printing. We need an estimate of the number of pages, and find out what sort of publishing deal we can find. Perhaps, a PDF file on the Website could be done. Rhodri suggests a set fee plus 5% for a proceedings book, so there will be no cost surprises. We can have extra copies for future sales. We need to add a ‘Permission to Print’ blip on the Instructor’s form for Web and publishing permission for the Mews and the R.U.S.H. proceedings.
Perhaps we can give teacher recognition at Lilies’ by asking for the ‘Favorite Instructor of the Week’. This could be done at the Sessions as well. A ‘Brass Hat Track’ would be fun, with classes taught by current and former Royals of any attending kingdoms, visiting Royalty has volunteered to teach this year.
On the ‘Improve our Image’ front, Rhodri, with his fighter-mind input, suggests R.U.S.H. sponsor a fighter Tournament. We are too late to set this up for this Lilies’ War, but it could also be done at any event, wherever and whenever. The Instructors and R.U.S.H. Staff could be asked to sponsor a fighter. We can have Best Armor, Most Dramatic Death, Most Chivalric Conduct and other contests, and supply prizes. Lars mugs, wine, beer, medallions, or coins would all be appropriate.
There’s still an old R.U.S.H site link that needs to be deleted, up in Nebraska. A few people have been contacted to correct it, without success. One fix evidently worked temporarily, but the link has returned to the old site. We’re looking into this.
We could put a notice on the Diverse Announcements page of the Mews, (which is free) for autocrats to please contact the Chancellor to schedule R.U.S.H. credit at their event.
An event form on the Website for autocrats to be able to print out would be cost effective. Tamara has this and will get it to the Webmaster as well.
HANDBOKE: Wording consistencies are needed. We have the Fall and Spring Sessions, perhaps we could look up the Olde English term for ‘college’ and rename them.
An annual project of Graduation Announcements, separate from Court and with a Graduation Party, held at next Lilies’ would be good public relations. We need to decide if we want to present scrolls, and if we want to use the Hawk’s Lure, the Crane and/or the entire R.U.S.H. Badge for various commencements.
FALL R.U.S.H. in Manhattan: Tamara reports their Annual Two-Day Folk Festival, which they have always participated in, and which brings in a bit of income, has been changed to occur on the R.U.S.H. weekend. There is a football game on Saturday, which attracts many and causes parking, hotel and crash space shortages. Period camping is allowed; there are Buckskinners, Mountain Men, and Civil War encampments. It is a bit of a walk to the demo area, however. Fighters are always needed. More information will be brought to Lilies’ War.

Old Business: April Session Report - There were conflicting events and a lot of negativity from the involved groups being brought to bear and so the Chancellors reluctantly cancelled the April RUSH Session. This was announced at Queen’s Prize Tourney and on the New Web Site. We will reschedule the classes next year, especially as there was a great deal of interest in the activities. This is the second cancellation in a row in the Iowa region, and it will not be done again. Brialen suggests more interaction between groups and the RUSH Board, which could appear more nurturing.
We want to publicize much earlier notices for RUSH Sessions. Regents need to be aware of their Deaneries timetables and times of heavy scheduling. Perhaps, scheduling RUSH after large draw events held at colleges or city tourist attractions to accommodate the newly interested and curious gentles that find us at such times.
Lilies’ War, Fall Session, and Kris Kinder sessions are posted on the Web Site with dates, sites, and contact people listed. We are asked to promote RUSH at any events we travel to, especially to make announcements at Court and make gentles aware of where we will be. It is noted that the old RUSH Website is still online and accessible. Mikhail or Theron will be approached to erase it, if possible.
FARBLE
Minutes of the last Farble were read aloud; a correction to the Contact List was needed, to change RAC ‘Head Mistress’ to ‘Dean’. Alvira moved/Otoshi seconded to accept the minutes as corrected. Motion was passed.
Genevieve asked if everyone had a Handboke, as some have been misplaced or lost; the War Regent (Otoshi) has the former Special Sessions Regent’s (Roise) Handboke.
Genevieve has spoken to Eloine about the Central Regent Office, and Eloine will be making her decision about continuing or stepping aside.
The new e-mail contact list was passed out and corrections were requested and made.
Luciana reported she has approached Callen, who is Eringlen’s sister, about joining RUSH in one of the many positions open: Maire’s (Registrar) deputy, Librarian, Central Regent.
Handboke: Luciana informed us that Dimitrios of AnTir has requested RUSH advice on our University set-up of By-Laws, which we’re presently revising. And Alvira has also been approached by a third party to the Chancellor of Minors in the East Kingdom, asking about use of the Royal Academy name and advice on our set-up.
We began reviewing the Charter. In the second paragraph discussing the ‘Chancellor’, it is noted that at present we have two ‘Co-Chancellors’. But, this is a special situation, with Luciana being appointed by their Majesties, but working with Genevieve jointly. If this would happen again, perhaps the wording ‘Co-Chancellors’ or ‘Deputy Chancellor’ would be needed, with the Deputy not necessarily becoming the next Chancellor. The leader attitude is very important in this situation, whether of being able to work together or having to have control.
The Chancellor (Luci) has the deciding vote in breaking ties on Board issues. The Crown decides matters in differences of opinion between the Chancellors.
Reviews continued with ‘What is RUSH?’, ‘the RUSH Staff’, ‘Fees’, ‘Drop-Adds’, ‘Waiver of Fees’ and ‘Refunds’ (unnecessary now as there are no pre-paid fees). ‘Degrees and Titles’ had been previously reviewed. ’Pre-Requisite Coursework’ is reworded, and ‘Transfer of Credits’ is altered to ‘Non-session Credits’. ‘RUSH Instructor’ is reworded, and we are asked to correct the mis-information about having to have high rank in order to be allowed to teach at RUSH, which is a mistake some A&S officers and seneschals have. Tamara offered her OCR and time to retype the alterations being made. We will ask Maire to rewrite the Registration procedures as to what currently is done. Luci, Gen, Alvira, and Christiana will review and make recommendations on the remaining sections at the next Board meeting to be held in V’Tavia on Saturday, May 25th. Brialen has offered to locate a site near the event, so as not to interfere with already scheduled proceedings there.

I. Site Business: Lavatory and kitchen set-up were pointed out. Luciana was to conduct the meeting and Genevieve was to maintain discipline.
II. Minutes: The minutes of the October 20th meeting were read aloud. Typing corrections were made. Xorazne made a motion to accept the minutes as corrected, Tamara seconded, and it was approved.
The minutes of the CalonCon meeting were read aloud. Typing corrections made; Maire moved, Alvira seconded, and it was approved to accept them as corrected.
The minutes of the Kris Kinder meeting were read aloud. Typing corrections again made; Maire moved, Tamara seconded, and it was approved to accept them as corrected.
The Contact List was passed out. Address corrections were made and term expirations were looked at. It was noted that all major officers’ terms expire in Fall ’03, so we used the List to thoroughly check through the positions.
Maire asked for an extension of her term. Tamara moved, Xorazne seconded, and it was approved to extend her term to Fall ’04.
Rhodri asked for his tenure to change to Spring ’03, as he’s changing
schools with all that entails. Alvira moved/Maire seconded/approved.
Brude and Azelina have both applied for the Virtual Scribe position, and have agreed they could work together in this office. Alvira moved for an office title change to ‘Co-Virtual Scribes’ for a term ending in Spr ’04. Maire seconded/it was approved. Irena reports for Brude on the Web looking good and progressing well. Maire is going to set up an on-line advertisement for a Deputy, list a job description, and set a deadline for applications. She is also working on the Degree requirements and has Class Rosters to print out, and so makes a request for funds for printer sheets and ink. Alvira has RAC Degree requirements and will send a copy to Maire.
A new office was suggested, that of Librarian, with duties of putting together Instructors’ Handouts, from such events as Lilies’, into Proceedings Bokes. We’ll probably need written permission from the Instructors at the least for this. Ansteorra has a copyright lawyer amongst its populace whom we could ask advice of. This will require an addendum to the policies and such as well. This topic was tabled for more study and data gathering.
The Central Regent has resigned and we have no current replacement. Henry’s position as Regent was approved at Coronation of six months ago, but his tenure is still open. Tamara’s and Xorazne’s terms need to be revisited.
Special Sessions Regent Roise’s term has expired, and is not filled at this time. Francesca was interested in the Special Session Deputy position, but she doesn’t travel much.
The Lilies’ Regent position has most recently been held by a member of an already formed team, which puts in a bid for the Lilies’ Planning Committee duties. Fernando is the present head of the Lilies’ Committee, and has asked R.U.S.H. to appoint a representative. One of the Chancellors was put forth as they can make certain required decisions. This may need to be included in the job description, and set into the By-Laws. We’d also like to have a Graduation Ceremony of Kestral College and R.U.S.H. at Lilies’.
Alvira brought up that RAC Headmistress needs an expiration date. She is also the only applicant for the opening KMOC spot, but feels there is no conflict in the two positions, and may have to do both. She is asking for two deputies, or recruiting assistants, one for North and one for South. As KMOC, she plans to attend as many small events as possible to advance children’s activities. Kestral College is separate, but has R.U.S.H. course numbers, and Lilies’ is the busiest time for both. Kestral has more independent study, due to age differences. It needs better tracking.
The question of how to add new ‘Fellows’ was brought up. According to the By-Laws of 8/25/00, the procedure is for the Chancellor(s) to nominate a person, three Fellows to approve him/her, and then the R.U.S.H. Board votes to confirm the appointment.
III. Web-Site – Finances? Rhodri asked for information about the Web Site choices. The information Brude had passed out at Kris Kinder was given to him, with the suggestions of names, and fee set-ups, etc. Rhodri was wondering who needed to be re-imbursed for the monthly charges so far accrued. Azelina and Rhodri both would like to discuss other Host Sites. Everyone was reminded that the present set-up was a six-month trial, with analysis and discussion scheduled for Lilies’. Changes in rates and site content are certainly anticipated. We are looking at a limited access database, with public pages to include Transcription Requests, Board access pages such as an Instructors Listing, officers who are able to make alterations (meaning the Virtual Scribes and the Registrar), forms for Instructors online, and an anonymous input site. Brude and Azelina need the forms we presently use, in order to put them on line. The Internet is not recognized as an official record, we still need hard copy paper for some things, but it’s an added value.
The details of how-to’s for on-line Regent scheduling capabilities, pre-registration - especially for classes with limited sizes, confirmation of class credit (which will still require the class attendance list), the different formatting for various officers’ tasks, and all the interactions between these tasks are being ironed out. (And are why we are glad we have Virtual Scribes!)
